Here at Serco we are looking for an experienced Administrator to join the Business Support Team at HMP Dovegate. Reporting into the Business Support Manager, your responsibilities will include providing administrative support to the Director and the wider Senior Management Team, ensuring that regular communication is made available to the staff group.

 

As Administrator you will provide administrative support to the SMT, inclusive of taking meeting minutes, managing the official room bookings, boardroom diary and the collection of official visitors. This also includes presenting appropriate reports to the Director in a timely manner for each meeting in the diary, including the morning meeting. Another part of your role will be ensuring staff and prisoner communication is made available via CMS and displayed via the staff rest facility and gatehouse. Other key duties will include:

 

  • Answering phone calls to the Directors office and liaise with clients competently.
  • Liaising with Workforce Management to ensure the Duty Director and Orderly Officer are identified on gate TV.
  • Managing the catering arrangements for meetings and official visitors.
  • Manage domestic requirements for the Director and Deputy Director throughout the day.

 

What you will need to do the role:

 

In order to carry out this role successfully, it is vital that you have excellent IT, written & oral communication skills as you will be working in a busy office environment. IT literacy is one of the most important aspects of this role so advanced levels in Microsoft Packages will be required to enable you to complete your role competently. You must have excellent teamwork, co-ordination skills and an enthusiastic approach to work within a target orientated environment.

 

Due to the nature of the role, it is important that you are able to plan and organise your workload proactively in a busy environment and demonstrate a positive attitude. You will be confident in your own ability to work alone using your own initiative, as well as maintain good working relationships with colleagues within your team.
