Personal Assistant

Defence Academy – Shrivenham, Swindon, SN6 8LA

Full time, 37 hours

£22,473

 

Serco has been involved with the provision of services at the Defence Academy, Shrivenham site since 2000 in the role of main provider of both Hard and Soft Facilities Management. As well as this role, the operation includes the provision of academic learning each year via the Joint Services Command and Staff College.

The Academy annually carries out pre and post-graduate education and training (for some 100,000 visitors annually) covering leadership, strategy, science and technology, and business skills. The core services we provide including maintenance of the buildings, supporting the training courses, ICT services and much more.

 

About the role:

 

Providing a personal and confidential high level Personal Assistant support to one or two 1* officers and or senior civil servants (Director Level) within the Defence Academy of the United Kingdom. You will be the frontline point of contact ensuring the efficient running of the designated offices and meeting all of the requirements for personal secretarial support.

You will be working in a fast-paced and fluid environment dealing with multiple requests from the business. The role will require you to;

 

  • Work unsupervised and make sensible judgements in the day to day running of the office.
  • Take full responsibility for the prioritisation of all incoming work as directed by the officer.
  • Co-ordinate and control electronic diaries, booking of travel and meetings.
  • Arrange documents and reports for meetings; take minutes and actions to distribute accordingly.
  • Typing of Ministry of Defence (MOD) correspondence adhering to defined writing standards.
  • Various duties and responsibilities in support of Serco business and as required.

 

About you:

 

The perfect candidate for this role will have previous high level administration experience in a similar position. You will need;

  • The ability to build strong working relationships and provide outstanding customer service.
  • Extensive knowledge of Microsoft Office, including Excel, Word, PowerPoint and Outlook.
  • Strong organisational skills with great attention to detail.
  • The ability to communicate at all levels using a variety of communication methods.
  • Capability to efficiently prioritise multiple requirements with a heavy workload.
  • Problem solving skills, able to generate ideas and continually improve.
