Your Opportunity
We are looking for an Office Administrator to support our Dubai Head Office with the management of administration tasks, office operations and reception related duties.
The ideal candidate should have the ability to handle confidential information in strict confidence, work with high integrity and minimum supervision and have the ability to follow direction and perform tasks independently.
This role will be based in our corporate office in Dubai.
Key Accountabilities
- Provision of general clerical assistance as required by team members
- Assist with photocopying, booklet production, binding, laminating, scanning, shredding, archiving and other similar activities
- Check printers daily and refill as required and assist in keeping store items correctly stocked
- Regular maintenance and checks of office cupboards, ensuring items and documents are tidy and organized
- Daily maintenance of our office floors and meeting rooms (neat, tidy and organized – all white boards cleaned daily)
- Receiving collection of equipment, stationery, documents, mail, parcels or other such items
- Manage mail and ensure recipients receive physical mail delivered to office
- Meeting room preparation – ensuring meeting rooms are fit for purpose, correct layout, all equipment is available, required/requested supplies are provided
- Liaising with cleaners re: Housekeeping of pantry, i.e. ensuring cleanliness, availability of supplies, etc
- Managing First Aid and Fire Warden - expiry of certificates and renewals and booking training
- Noticeboards all up to date - policies and posters etc
- Office works and maintenance - ensuring prompt response to any issues from a safety perspective
- Working with the building management for evacuation drills
- Ensuring visitors and new employees in the office receive an office safety induction and walkaround
- Support on reception and front desk ensuring that there is always someone available to greet visitors
- In the absence of OMS Supervisor, attend to visitors and coordinate with mails, couriers and deliveries at reception
Specific Requirements
- UAE National
- Good communication skills both written and oral with the ability to communicate with people from various backgrounds and standing
- Ability to liaise in a professional and persuasive manner with staff at all levels in the organization
- Ability to handle confidential information in strict confidence
- Ability to work with high integrity and minimum supervision
- Ability to follow direction and perform tasks independently
