Asset CAFM Manager – Strategic Data & Maintenance Management

VIVO Defence Services is seeking an organised and detail-oriented Asset CAFM Manager to take ownership of the asset and planned maintenance (PPM) database across a high-security MoD contract. This role is pivotal in ensuring accurate, compliant, and efficient management of asset information through our CAFM platform, Maximo.

The Role

As the Asset CAFM Manager, you will be responsible for the oversight and integrity of the entire asset and PPM database. You will manage the input, update, and accuracy of asset information, ensuring all new and existing assets are correctly logged, maintained, and associated with the appropriate SFG20 task schedules. You’ll lead the onboarding and offboarding of assets, tracking their lifecycle stages and managing changes through a formal and auditable process.

Working closely with both internal stakeholders and subcontractors, you’ll ensure the asset database is kept current and compliant with contractual, technical, and legislative standards. You’ll provide operational teams with 52-week planners to support future works planning and deliver accurate end-of-month data for reporting to the client. Your role will also support the Compliance Manager in processing and adjusting database information in line with regulatory updates or contract changes.

Your responsibilities will extend to supporting the creation and ongoing development of the Forward Additional Services Plan (FASP). This will involve condition surveys, asset lifecycle tracking, and contributing insight to long-term planning. You’ll be instrumental in identifying and managing asset defects, validating service history and maintenance records, and mitigating asset-related risks across the contract.

Regular coordination with both clients and contractors will ensure the accuracy and completeness of asset data. You’ll maintain structured, accessible documentation that supports audit trails and informs strategic decisions across the estate.

What You'll Bring

To succeed in this role, you will need strong attention to detail to ensure the accuracy and consistency of asset and maintenance data.

You should possess in-depth knowledge of asset management principles, statutory and mandatory maintenance requirements, and demonstrate experience working with CAFM systems—particularly Maximo. A hard FM technical background is desirable, as is a solid understanding of Microsoft Excel for data analysis and reporting.

You’ll be dynamic and proactive in approach, with excellent written communication skills and the ability to manage data across multiple stakeholders and systems.

Due to the nature of the site and the sensitivity of the data you will handle, you must be a British citizen and eligible to obtain and retain Security Clearance (SC) as a minimum requirement.

This role is an excellent opportunity for someone who thrives in a structured, data-driven environment and wants to play a key part in the long-term performance and compliance of critical defence infrastructure.

What We Offer:

  • 25 days annual leave
  • 6% employee matched pension contribution
  • Life assurance 2 x annual salary
  • Company car/car allowance
  • Single private medical cover
