Contract Type: Full-time, Permanent
Working Hours: 37.5 hours per week, Monday to Friday (no out-of-hours work)
Salary: Up to £26,000 per annum

We're looking for a proactive, detail-focused Administrator to support our busy Operations Team, based primarily at Duke of Gloucester Barracks in Cirencester. This is a purely office-based role, with occasional ad-hoc travel to other sites – any necessary travel expenses will be covered. While the site is accessible by public transport, access to a car is highly desirable due to the location and potential travel.
About the role;
As the Administrator, you’ll provide critical support to the Operations Team, which includes the Office Service Delivery Manager, Built Estate Manager (BEM), and BW Manager. This is a standalone admin role at the site, giving you ownership and visibility of all administrative activities, from handling purchase orders to preparing reports and booking contractors.
You’ll be responsible for booking appointments, coordinating meetings, and taking detailed minutes. You will manage the booking and tracking of contractors on and off-site with security, support reporting activities using Microsoft Excel, and prepare key documents such as agendas, action logs, and internal communications.
You'll also maintain both electronic and paper filing systems to a high standard and act as the first point of contact for a wide range of digital and telephone-based queries. This role includes hotdesking and working closely with various internal and external stakeholders in a collaborative environment.
What you’ll need;
We are looking for someone who can hit the ground running, with demonstrable administrative experience in a fast-paced environment. Experience in a Facilities Management (FM) background is especially desirable. You must be comfortable working independently, as you will be the sole administrator at this location, managing your workload and priorities with minimal supervision.
Strong communication and organisational skills are a must, along with the ability to work to deadlines and manage competing tasks effectively. A good working knowledge of Microsoft Office, particularly Excel, is essential.
While formal qualifications such as NVQ Level 2 are advantageous, we are open to candidates with relevant experience and a proactive, can-do attitude. A full UK driving licence is also desirable due to potential travel between sites.
